Propel Rx: Debunking the Myths

The main difference between a myth and a fact is that a fact can be proved while a myth cannot. PTS is your go-to for reliable and accurate facts. Our team of experts ensures you get the truth, not just hearsay. With that in mind, here are seven Propel Rx myths (and facts) about the Propel Rx upgrade.

Exception! There are a handful of stores with outdated hardware that can't support Propel Rx (e.g. PCs that don't support the newest version of .Net, PCs that are still running Windows 7). In those cases, PTS has contacted (and will continue to contact) store owners directly about purchasing hardware. These stores are the exception and not the rule.

 

Good to know! Self-directed eLearning allows owners and pharmacy teams to learn at their own pace and at locations that are convenient for them. All learners are encouraged to register and attend an "Ask us Anything" session. 

 

Important! Each Pharmacy will need to appoint a team member as their Propel Rx Ambassador.   Designated ambassadors will be emailed the countdown to the Propel Rx weekly emails.

4 Things to STOP Doing in Propel Rx

Propel Rx has enhanced the Intake window to streamline data entry. As we return to in person industry events, we heard Propel Rx users weren’t taking advantage of some of the new and enhanced features in this window. Here are 3 things to START doing in the Intake window.

1. Start using the Profile button

Once a patient has been searched and selected, the Profile button becomes available. Prescriptions can be easily refilled or reauthorized. Attachments and notes are carried forward for reauthorized prescriptions and everything can be viewed in a single window.

2. Select Copy Rx to add another instance in the Intake window.

Two prescriptions can be processed together by selecting Copy Rx. This will allow another instance in the Intake window. Think of it as adding another page.

This is an alternative to the “/ ” method you might be using today. Give it a try!

3. Add prescriptions to Data Entry for later.

Ever start an intake prescription that you want to finish later or want someone else at another workstation to continue working on it? Start utilizing the Add to Workbench button to add it to the Data Entry queue.

What You Need to Know About Learning Propel Rx

Excitement has been building around the training required for Propel Rx. Trust me, we share your excitement! You’re already a PharmaClik Rx expert which will make learning Propel Rx easier than you think.

Allow me to walk you through what the learning journey leading up to Propel Rx will look like.

 

Keeping you updated

Getting ready for your upgrade to Propel Rx is made easy through a series of weekly countdown emails beginning four weeks prior to your upgrade, and ending just over a week after the upgrade. These weekly emails contain everything you need to ensure a smooth transition and an even smoother go live day. Remember to check your junk in case these emails end up there!

Enclosed in these emails is a toolkit containing all the critical information and a checklist that will keep you and your pharmacy team on task with the activities required during the four-week countdown.

 

Your eLearning journey

Your team will have four weeks to complete eLearning. With the help of the Retail Learning Academy (RLA), your pharmacy team will be able to learn about Propel Rx at their own pace, when it's convenient for them. Keep an eye out for your "Prepare for Propel Rx" email that outlines your four week journey. You'll also receive an additional email that will contain an RLA enrolment key, where you and your team can then view the assigned curriculum and enroll.

Self-directed learning is engaging and interactive and includes:

1. eLearning

2. Guided demos

3. Hands-on simulations

 

Flexible learning environment

The eLearning courses can be completed on various devices like a laptop, tablet, or a desktop computer. The course window will adapt to your chosen device, allowing more flexibility for your pharmacy team. If you’re unable to complete a course in one sitting, don't worry, it will remember where you left off, so you’re not required to start from the very beginning.

Completing the eLearning prior to being upgraded is mandatory and will ensure that you and your team are familiar with Propel Rx on your Go Live day. You’re already experts with PharmaClik Rx and navigating this new platform will become second nature to you in no time!

The PTS Learning Team hosts weekly live online "Ask us Anything" Q&A sessions. Get a chance to experience Propel Rx with an expert trainer to guide you the along the way. The sessions are designed to support your learning journey and are free to attend for as many times as you need. Drop in for 10 minutes to ask a question or stay for the hour. It's up to you.

Better Learning Experiences

We value your feedback and have taken steps to implement many recommendations regarding the Propel Rx Upgrade eLearning courses.  These improvements will have a positive impact on your learning experience.

Training time has been condensed and reduced.

Four modules previously included in the upgrade eLearning have been condensed into one, with the courses falling into one of two sections: Required or Elective.

By taking all the Required courses, you and your team will be set up for a successful Propel Rx upgrade. Once the required courses are completed, we recommend reviewing the list of Elective courses. Take only those courses that are relevant to the specific features used in your pharmacy.

The courses have been refined.

The courses have been restructured and similar topics combined to reduce the number of courses. This reduce sthe number of similar topic introductions encountered across the different courses and ensures you're spending time learning information needed for the upgrade.

More videos provide more flexibility for learners.

Everyone has a learning style which works best for them. While some may prefer step-by-step instructions found in online help, others may thrive by watching videos and listening to the instructions. We've added more videos to the upgrade eLearning to demonstrate the various topics and scenarios. This provides a helpful recap to reinforce understanding of a topic.

Increased interaction solidifies learning.

What better way to check your understanding than by applying what you've learned? More activities and checkpoints have been added to the upgrade eLearning to confirm you are understanding the content as the courses progress.

Experience Propel Rx "hands on" before your Go Live day.

We're all eager for a sneak peek, especially when it's a look into something you will be using every day. We've added new timeslots to the Propel Rx Ask Us Anything sessions. During these sessions, you'll have the opportunity to take control of the mouse and test out Propel Rx in a virtual environment led by our team of expert trainers. 

If you have a question about how to use a feature in Propel Rx, or a question about something you've encountered in eLearning, this is your opportunity to ask those questions and get answers, live and online. Prior to attending a session, be sure to download the Microsoft Teams application to take advantage of being able to interact with Propel Rx.

If you're already using Propel Rx you can increase your knowledge by signing up and asking questions.

Improvements to the upgraded eLearning have been made to support your pharmacy through the transition to Propel Rx. Get started with the new and improved Propel Rx Upgrade Foundations curriculum today.

The Complete Guide to Faxing with Propel Rx

Pharmacies are often tasked with managing large amounts of inbound faxes which require a quick response to ensure the patients’ medication and clinical needs are met.

Sensitive data is secure

With traditional faxing, physical copies can be misplaced easily and sensitive data can be compromised. Propel Rx safely, and securely manages incoming faxes.

Responsible solution

Limiting paper saves the environment and your budget. Print only what you need to. Propel Rx gives you the choice.

Never miss a fax again

With Propel Rx, time-sensitive faxes are never missed when they’re received. A clear indicator at the top of your Workbench using the Fax Tile will allow you to always keep tabs on any new and unread messages.

Gone are the days of needing to check your fax service on the Server computer, which is sometimes locked in another room and not easily accessible. In Propel Rx, any Workstation will allow you to view, attach and manage your faxes, allowing more flexibility within your workflow.

Your new Fax Inbox will clearly show a list of all faxes, along with an image preview when a fax is highlighted.  Don’t worry if the image is unclear - you can easily zoom in and out or navigate to different pages of the fax.

Easily prioritize

At a quick glance, you can look through your faxes to prioritize and manage important documents, or just as easily get rid of junk documents from your view.

Four prime actions

Once a fax is received into Propel Rx, the four prime actions you can take are:

  1. If the fax is a new prescription or a refill request for a patient, you can easily move it over to the Workbench to be prioritized within your Data Entry flow or process it right away. The flexibility of the new Intake process will compliment how you can now handle your prescription faxes.
  2. Some faxes you receive daily is information that should be attached within Propel Rx as supporting documentation. Such as a form to attach to a specific patient, or a doctor notification you’d like to keep on file. We’ve created a straighforward way to attach a fax to a Group, Doctor, Patient or Prescription with just a few clicks.
  3. Need to Print your fax quickly?  A print function allows you to get the physical copy you require, without wasting unnecessary paper.
  4. Sometimes we also receive some Junk or unnecessary documents. You can quickly move any document to the Archive folder. Propel Rx will maintain your documents if you need to retrieve them, but also keep them out of your Inbox view to help manage only your key faxes. Not to worry if something was sent to Archive accidentally - you can still move to Intake, add attachments, and print from there.

Increased capabilities

Along with the great Inbox capabilities, you can now view any outgoing faxed documents in Propel Rx via the Outbox view.  Any document faxed through Propel Rx using the Fax button will have a copy in your Outbox.

If any of your faxes have timed out, you can now re-send them directly from Propel Rx. This increased visibility into your faxes will help you and your team in managing all your important fax documents from any workstation.

Faxing with Propel Rx is easy and efficient, enabling pharmacies to manage large amounts of inbound faxes and save time too.

The Top 3 Benefits of Digital Workflow in Propel Rx

The Propel Rx upgrade is well underway with more and more pharmacies successfully upgraded each day. Because that is exactly what Propel Rx is: an upgrade. Yes, it's been packaged up in a shiny new look and feel but at its core, it's an upgrade.

You're a PharmaClik Rx expert, which makes learning Propel Rx that much easier.

Learning Propel Rx has been simplified. A series of eLearning modules has been developed to give pharmacy teams the tools they need to be successful in navigating Propel Rx before the upgrade.

Multiple Instances.

I know you’ve heard us talk about it and maybe even already read an article about it. However, it’s overwhelming the number of stores that are enjoying the ability to have more than one instance open in Propel Rx. Everyone is using it!

Workbench.

A Streamlined workbench allows for centralizing prescriptions in Data Entry especially with the addition of PrescribeIT presecriptions. We've also heard separating Retail and Compliance queues is making prioritizing easier.

Documentation.

Documenting dialogue, whether you’re using digital workflow or not, can be accomplished digitally in Propel Rx. Pharmacy team members are enjoying how dialogue writes back to an area in Propel Rx called Clinical History. This allows for a single location to review discussions with the patient as well as add or review clinical notes.

The Retail Learning Academy is an on-line learning platform that offers courses and recorded webinars for PTS offerings.  Online learning (eLearning) provides a convenient way to access learning where you want and when you want.

When to expect Propel Rx in your province

Currently in rollout - British Columbia, Alberta, Saskatchewan, Manitoba, and Ontario

This is the foundation of Propel Rx and is available in British Columbia, Alberta, Saskatchewan, Manitoba, and Ontario. There will be some stores in these provinces that have integration with external vendor partners that that will be identified during their assessment with the PTS Deployment team. Continue reading to learn more about how this may impact your store.

Newly launched - Newfoundland and Labrador

The expansion of Propel Rx is currently underway for Newfoundland and Labrador. Next will be the remainder of the Atlantic Provinces: New Brunswick, Nova Scotia, and Prince Edward Island.

 

When it's time to upgrade, your store will complete as assessment with the PTS Deployment team. The purpose of the assessment will determine when your store will be scheduled for the upgrade.

 

Stores that have any of the integrations below will be scheduled based on their individual needs.

1. Integration with an eMAR vendor (Electronic Medication Administration Record)

2. Integration with Amjay Software Solutions for services like Easy Refill, Central Profile, MethaMeasure, and others

3. Integration with Access Point by Pharmacy Access Solutions for services like Smoking Cessation, Injection Administration, and others

4. Stores that require Chinese instructions

It's an upgrade and your knowledge of PharmaClik Rx is an asset!

Have asked yourself, “Hmm, do I have to upgrade to Propel Rx? By now you’ve probably attended an Open Mic Webinar on Propel Rx and gotten a chance to participate in one (or more) Ask Us Anything sessions. We’ve worked tirelessly to keep you in the loop about how Propel Rx will benefit your business. Now discover what Propel Rx looks like on your Go Live day.

"Optimistic and a little nervous."

I had the opportunity to visit a Propel Rx store and I’m excited to share my experience with you. As you might imagine, the team at the pilot store were a little nervous coming into the pharmacy that morning. Although they were nervous, they were very optimistic and eager to see if Propel Rx lived up to the hype. (Spoiler alert…it did!)

"The upgrade went very smoothly."

The pharmacy team were able to log in easily with their usual credentials. They jumped right into the software and were able to easily process prescriptions. They commented about how they found the eLearning helpful (and were very happy they completed their training before Go Live day) and commented on how many processes felt familiar and easy to navigate, but with a new look and feel that was much more current and pleasing to the eye. They were happy to report that many of the items on their wish list were met with Propel Rx. Hearing that made me so proud!

"How will we learn Propel Rx?"

Learning Propel Rx is made simple with online eLearning. You’ll learn the differences between PharmaClik Rx and Propel Rx. Beginning 4 weeks prior to your upgrade day, you’ll receive communications to help you get started and guide you through the three-week journey to your pharmacy’s live day. Keep an eye out for these notifications in your inbox. Insider tip, the communications you receive will have the subject line “Countdown to Propel Rx.”

"When will we receive Propel Rx?"

You'll be notified by a PTS team member a few weeks before your scheduled upgrade. 

"Will a trainer be coming to my store?"

Trainers will not be at stores. As Propel Rx will be rolled out to many stores over a period of months, our Customer Care team is ready and waiting to answer any questions that arise. Plus, making the time to complete the eLearning courses before the upgrade will prepare your team for day 1.

What you need to know about the upgrade.

  • The upgrade is mandatory. PharmaClik Rx and Nexxsys will be completely phased out and already has been in Manitoba and Saskachewan.
  • All existing preferences will be maintained on upgrade.
  • You will be provided training ahead of time, ensuring ample opportunity for the entire pharmacy team to be prepared.
  • PTS has been, and will continue to be, communicating with you and your team to make sure everyone is kept up to date and understands what is happening.
  • All Rx team members should subscribe to PTS newletters to ensure everyone stays in the loop.
We understand that saying goodbye to PharmaClik Rx may be hard for some. After a day with Propel Rx, you'll wonder how you did without it. When the time comes for your pharmacy to be upgraded, our team will ensure that you and your team are fully prepared and trained on how to use Propel Rx.

Propel Rx has an integrated fax tile allowing access to faxes from any workstation and can seamlessly add faxes into workflow without the need to print.

What's currently known as ADI (or the Auto-Dispensing Interface) is brought into Propel Rx which eliminates duplication, increases efficiency, and saves time. You will also get the added bonus of configuring the packager's workflow to meet the needs of your business.  

3. “I forget to check the PrescribeIT® tab for incoming transactions and sometimes the patient is waiting in the store before I see them.”

PrescribeIT® prescriptions now appear in the Data Entry queue on the Workbench, eliminating multiple places to check for incoming prescriptions.

4. “I want to access multiple patient folders at once.”

Propel Rx can have up to 3 instances open at once. This will allow multiple patients, drug files or prescriptions to be worked on. 

5. “I use digital workflow and would like to document dialogue within the application.”

Dialogue can now be entered within Propel Rx and will update the patient’s Clinical History. This will allow dialogue to be tracked in one location for continuity of care.
