Transferring a Prescription Into Your Pharmacy

The Transfer In feature provides the ability to document prescriptions that have been transferred into your pharmacy from other pharmacies. The transferred pharmacy’s name is indicated in Rx Detail, and the Audit History indicates that the prescription has been transferred in. Additionally, a warning appears if you attempt to transfer out a prescription that has been transferred in.

Can Transfer In data be modified?

Yes, it can be modified on the originating prescription. It cannot be modified on refills.

  • Transfer In data can be amended on the originating prescription.
  • Transfer In data is retained during a rebill of the originating prescription and can be modified.
  • The Transfer In information is retained for all refills of the current authorization and cannot be modified on the refills. It is not carried over when the prescription is reauthorized: once a new Auth Rx# is assigned, the Transfer In information is not applied to the new authorization since the prescription is no longer a transfer in.

How can I tell if a prescription has been transferred in?

Check the prescription’s Audit History or look in Rx Detail.

  • The Transfer In box in the Rx Detail Extended tab displays the name of the pharmacy from which the prescription was transferred - this is retained for all refills in the current authorization. Press the expand button to the right of the pharmacy’s name to view details regarding the transfer.
  • Transfer In prescriptions indicate TRANSFER IN on the Audit History.

Transferring a Prescription In

Transfer In data can be documented in the Rx Detail Extended tab for New and ReAuth prescriptions.

  1. Create the new or reauthorized prescription as usual and enter the regular information in Rx Detail.
  2. Press the Extended tab.
  3. Press the expand button in the Transfer In box located at the bottom of the tab.
  4. The Transfer In window opens. Select the transferring pharmacy’s name from the Pharmacy Name dropdown list.

Note: If the pharmacy is not in the dropdown list, press the Pharmacy button to add the pharmacy to the list.

  1. Enter the transferring pharmacist’s name in the Transferring Phst field. The transferring pharmacist’s license number can be entered in the License # field.
  2. In the Last Rx# field, enter the Rx# that is being transferred.

Note: If the transfer is from a PharmaClik Rx pharmacy, the fields in the Prescription Information box correspond to the Prescription Transfer Report received from that pharmacy.

  1. Enter Last Rx Qty. This is the quantity provided to the patient on the last fill.
  2. Enter the number of transferred repeats in Repeats Remaining.
  3. In Last Filled, enter the last date the prescription was filled at the other pharmacy.
  4. In First Filled, enter the date the current authorization was first filled at the other pharmacy.
  5. Enter the Written Rx Date. This is the date the prescription was written by the physician and matches the Written Rx Date in the Rx Detail Extended tab.
  6. Enter any comments pertaining to the transfer.
  7. Select your initials from the Receiving Phst dropdown list, if they are not defaulted.
  8. Indicate how the prescription was transferred (fax or verbal).
  9. Press the OK button.
  10. The screen returns to the Extended tab and the transferring pharmacy’s name appears in the Transfer In box. Continue to fill the prescription as usual. Once the prescription is completed, the Audit History indicates TRANSFER IN for this prescription.
